What this policy covers

This policy applies to excellent-bridge.com, contact and quote forms, membership inquiries, and information we collect to perform a professional engagement — including files you upload to our client portal.

It does not replace your engagement letter, membership agreement, or any consent we ask you to sign before we use tax return information for a purpose other than preparing, filing, or supporting your returns.

Information we collect

Website visitors

  • Name and contact details you type into a form
  • The pages you view and how you reached us
  • Device and cookie data used to run and improve the site

Clients and members info in portal

Upon completing your intake meeting and becoming an active Excellent Bridge member or client, our team immediately establishes your dedicated, encrypted Client Portal. To ensure maximum data privacy and safeguard your legal rights, all sensitive files and personal records must be uploaded directly through your secure portal. For your total peace of mind, all client records hosted and transmitted within our secure portal environment are backed by $1,000,000 in data security insurance coverage. Information uploaded to your portal includes:

  • Identity Credentials: Full legal names, dates of birth, SSNs, ITINs, and EINs.
  • Tax & Source Documents: Prior-year tax returns, Forms W-2, 1099, Schedule K-1, and foundational financial records.
  • Financial & Dependent Data: Bank statements, payroll reports, general ledgers, bookkeeping files, and dependent details.
  • Portal & Enterprise Records: Secure portal login credentials and all uploaded business or strategic documentation.

We collect this information from you, from documents you authorize us to receive, and — where needed to prepare or file a return — from tax authorities and payroll or bookkeeping systems you connect to us.

How we use it

We use personal information to:

  • Prepare, review, and file federal and state tax returns
  • Keep books, run payroll, and provide CFO or wealth advice you have engaged
  • Communicate about your file, deadlines, and membership
  • Operate the website and the client portal
  • Meet professional, IRS, state, and recordkeeping duties

If we ever use contact information for firm news or event invitations, we do that only with your permission, and never by mining tax return information for a mailing list.

Tax-return confidentiality

Information you give us to prepare a tax return is protected by federal law (including Internal Revenue Code §7216) and by professional confidentiality rules that apply to CPAs and enrolled agents. We use that information to perform the engagement you hired us for.

We do not disclose tax return information to a third party for a non-tax purpose unless you give the consent the law requires, or a court, statute, or professional rule requires us to disclose it. Accountant-client confidentiality is not the same as attorney-client privilege.

When we share

We do not sell your information. We share it only as needed to serve you or as the law requires, including:

  • The IRS, state tax agencies, and authorized e-file transmitters
  • Tax software, bookkeeping, payroll, and client-portal vendors under contract
  • IT hosting, document storage, and payment processors
  • Professional successors if the practice is transferred
  • Legal process, regulators, or our professional liability carrier when required

Those vendors are engaged to help us deliver the service. They are not free to use your file for their own marketing.

Client portal and security

Sensitive files should move through our secure client portal — not open email — whenever the portal is available. Keep your login private. If we enable multi-factor authentication, use it.

We use administrative, technical, and physical safeguards appropriate to a tax and accounting practice. No internet transmission is perfectly secure. Tell us promptly if you think an account or a file has been compromised.

How long we keep it

Website analytics are kept only as long as we need them to run the site. Client files, workpapers, and e-file records are kept for the period required by the IRS, state boards, professional standards, and your engagement letter — typically several years after the return is filed.

We cannot delete a required file on request.

You may ask us to access or correct information. We will not erase returns, workpapers, or portal archives that law or professional standards require us to retain.

Your choices

You may ask us to:

  • Provide a copy of the personal information we hold about you
  • Correct information that is wrong
  • Stop optional marketing messages
  • Explain what we can and cannot delete because of legal retention

Send requests to the privacy address below. We may need to verify that the request comes from you. If you are a California resident, you may have additional rights under state law; we still do not sell personal information.

Cookies

The website uses cookies that are necessary to run the pages, and may use cookies that help us understand traffic. You can block or delete cookies in your browser. Doing so may affect how the site works. We are not responsible for the privacy practices of third-party sites we link to; read their policies before you share information there.

Changes

We may update this policy. The new version is effective when we post it here with a revised “Last updated” date. Material changes that affect how we handle client tax information will also be communicated in the manner your engagement letter requires.
